Internship Policy & Code of Conduct

This document defines the rules, expectations, and responsibilities for all interns working with [Your Company Name]. By accepting an internship offer, you acknowledge and agree to all terms stated below.
1. Nature of the Internship
All internships are part-time and task-based, with flexible hours and limited weekly workload.
This internship is a learning opportunity, not a full-time employment role.
Compensation (stipend) is structured strictly according to:
Assigned workload
Time commitment
Project scope
There is no guaranteed promotion, full-time role, or salary increase unless explicitly documented in writing by management.
Selection into this internship is competitive. Out of tens of thousands of applications, only a small number of candidates are selected. Being selected means the company is giving you an opportunity to learn and work under the supervision of industry-trained professionals with 10–15+ years of experience.
This opportunity should not be taken lightly.
2. Tasks, Deadlines & Accountability
The Task Sheet / Task Board shared with you is your primary responsibility.
All deadlines mentioned in the task sheet are final and binding.
Missing a deadline is solely the intern’s responsibility, regardless of reason, unless prior approval is obtained before the deadline.
Deadline Policy:
2 missed deadlines (without prior approval) = immediate termination of internship.
Informing management after a deadline has already been missed is unacceptable and will be treated as negligence.
If you anticipate a delay:
You must inform management in advance
With a clear reason
And a revised realistic timeline
Silence, excuses after failure, or last-minute messages are not acceptable.
3. Communication Standards (Strictly Enforced)
Professional communication is mandatory.
Required:
Clear, complete, and respectful messages
Proper greetings and context
Structured reminders when waiting for instructions
Example of an acceptable reminder:
“Hi, just following up on the pending instruction regarding [task name]. Please let me know when convenient. Thank you.”
Unacceptable Communication:
Sending blank messages like “?”
One-word follow-ups
Casual, vague, or passive-aggressive messages
Repeated unnecessary pings
We have previously terminated and blocked candidates for unprofessional communication. This policy is actively enforced.
4. Responsiveness & Availability
Interns are expected to be reasonably responsive during agreed working windows.
Ignoring messages, delayed replies without reason, or disappearing during active tasks may result in termination.
You are expected to send reminders if instructions are pending — professionally and respectfully.
5. Use of AI Tools (Including GPT)
AI tools may be used for personal learning or drafting internal work, where permitted.
Using AI-generated responses in group chats, management discussions, or official communication is strictly prohibited.
Messages that appear automated, artificial, or AI-generated in management or group conversations will be treated as a serious professionalism violation.
Repeated or serious misuse may lead to immediate termination.
6. Confidentiality & Data Security (Zero Tolerance)
During your internship, you may be given access to:
Website dashboards
Login credentials
Admin panels
Internal documents
Client or company-sensitive information
You agree that:
All credentials are strictly confidential
Sharing, leaking, misusing, or storing credentials improperly is prohibited
Access must only be used for assigned tasks
Any misuse, intentional or unintentional, may result in:
Immediate termination
Permanent blacklisting
Legal action under applicable cybercrime and digital security laws
Reporting to relevant authorities, including cybercrime investigation agencies, if required
Security violations are treated as serious offenses.
7. Loans, Advances & Financial Matters
Any loan, advance, or financial help provided by the company or management is:
A personal obligation
Not part of salary or stipend
Such amounts must be returned within the agreed timeframe, regardless of:
Internship status
Continuation or termination
Performance outcome
Failure to return borrowed amounts may result in:
Formal recovery action
Legal notice, if required
There is no automatic adjustment, waiver, or conversion of loans into compensation.
8. Termination Policy
The company reserves the right to terminate the internship immediately, without notice, in cases including but not limited to:
2 missed deadlines
Poor or unprofessional communication
Lack of responsiveness
Breach of confidentiality
Misuse of credentials or access
Misrepresentation, dishonesty, or misconduct
Disrespectful behavior toward management or team
Repeated failure to follow instructions
Termination decisions are final.
9. Final Note
This internship is a professional opportunity, not a casual arrangement.
Candidates who show discipline, responsibility, and professionalism gain experience, mentorship, and trust.
Those who treat it lightly will be removed quickly.
